How to Import Construction Estimates Into Procore
Step-by-step guide for general contractors who want to move estimates from Excel, ProEst, or any spreadsheet into Procore's project budget — without retyping a single line.
Most general contractors build their estimates outside of Procore — in Excel, Google Sheets, or a dedicated estimating tool like ProEst, Sage Estimating, or PlanSwift. Procore is excellent for project execution, but the estimating workflow usually happens elsewhere. The painful part is moving the finished estimate into Procore so the budget module reflects what the team actually bid.
There are three common ways to import construction estimates into Procore today. The first is manual entry: an estimator or PM types every line item into the Procore Web UI, one row at a time. For a 50-line estimate, this typically takes 2–5 hours and is highly error-prone. The second is Procore's native CSV import: it works, but it requires your spreadsheet to match Procore's exact column format, and it doesn't preserve calculated totals when WBS code segments are involved. The third is using a Procore Marketplace integration that handles the mapping and sync for you.
ProBidCore takes the third approach. You build (or import) your estimate in ProBidCore using whatever WBS structure your company uses. Each line item has a description, WBS code, cost type, unit of measure, quantity, and unit cost. Totals are calculated automatically. When you're ready, you click 'Push to Procore' and ProBidCore sends every line item to Procore's budget module via the REST API.
The key technical detail: ProBidCore uses Procore's manual calculation strategy when writing line items. This means your pre-calculated totals are preserved exactly as you entered them. Procore won't override your numbers based on some other formula. This matters because most GCs have already done careful margin analysis and don't want Procore second-guessing their math.
Before you sync, ProBidCore checks whether the Procore project budget is locked. A locked budget will reject new line items, so catching this early saves you from partial writes and confusing error states. ProBidCore also batches large estimates (200+ lines) to respect Procore's API rate limits, with automatic retry on transient failures.
If you're evaluating estimate-to-Procore workflows, the most important question is: how does the tool handle errors? Does it tell you exactly which line failed and why? Does it leave your Procore budget in a half-synced state? ProBidCore's audit log shows every sync attempt with timestamp, item count, and the specific error message from Procore if something failed — so you always know where you stand.
