5 Estimating Mistakes That Cost GCs Thousands (And How to Avoid Them)

Estimating errors don't just cause budget overruns — they erode trust with clients, create change order disputes, and make it harder to win future bids. After working with dozens of GCs, we've seen the same mistakes come up again and again.

Mistake #1: Inconsistent WBS codes across projects. When every PM uses their own coding system, historical data becomes useless for future bids. Pick a WBS structure, document it, and use templates to enforce it across your team.

Mistake #2: Missing or wrong cost types. Labeling everything as 'Materials' when half your costs are 'Subcontractor' or 'Equipment' makes budget tracking meaningless in Procore. Take the extra 30 seconds to categorize correctly.

Mistake #3: Manual data entry between systems. Every time a human retypes a number, there's a chance for error. A $385.00 unit cost becomes $3,850.00. A quantity of 245 becomes 254. On a 50-line estimate, even a 2% error rate means at least one wrong line item. Automated sync eliminates this entirely.

Mistake #4: Not checking budget lock status before syncing. If the budget is locked in Procore and you try to push new line items, the sync fails and you waste time debugging. Always check lock status first — or use a tool that checks automatically.

Mistake #5: No audit trail. When something goes wrong and the CFO asks 'who pushed this to Procore and when?', you need an answer. Log every sync with timestamps, item counts, and success/failure status.
